BYCAV ELECTIONS
BYCAV is holding elections for their Board of Directors (Steering Committee) on August 26th,2008 at 6:30pm at the BYCAV office,  21 Sussex Ave, Toronto, Rm. 615 (6th floor). To be eligible to vote and be nominated for a position one has to have:
1.     Attended at least two BYCAV meetings whether they be general/ open or planning meetings.
2.     Must be between 13-30 years of age.
 
    • The commitment for these positions (office hours and meetings) is approximately 4 - 8 hours per week.
    • Please also plan to attend an information session on August 19th to learn more about the positions and responsibilities.

BYCAV Board of Directors Composition
The composition of the BYCAV Board of Directors, also known as Steering Committee, shall be as follows: 
a.     The following Executive positions:
                                                   i.        Chairperson
                                                  ii.        Vice-Chair, Internal and Finance
                                                 iii.        Vice-Chair, External and Outreach 
b.     The following Director positions:
                                                   i.        Director of Education and Awareness
                                                  ii.        Director of Media and Promotions
                                                 iii.        Director of Membership and Recruitment
Term of Office
Term of Office for BYCAV Executives and Directors shall be one (1) year commencing September 1 and expiring the following August 31.
Responsibilities of Steering Committee Members:
Chairperson
    • Call the meetings of the Steering Committee;
    • Responsible for the oversight and delegation of the tasks of the Executive Committee and the Steering Committee;
    • Act as the official spokesperson of the Black Youth Coalition Against Violence
    • Chair the meetings of the Steering Committee;
    • Act as the official chief signing officer of the organization; and,
    • Ensure communication between Steering Committee occurs on a regular basis.
 
Vice-Chair Internal and Finance
    • Act as a signing officer and the official Treasurer of BYCAV;
    • Responsible for preparing and maintaining an annual budget for BYCAV;
    • Responsible for ensuring proper administrative procedures and policies are developed and followed by the Steering Committee;
    • Ensure that proper documentation is recorded and stored regarding Steering Committee decisions and expenditures;
    • Must take on tasks to ensure BYCAV completes all required or necessary administrative, contractual and financial obligations (i.e. audited financial statements, employment contracts, partnership agreements);
    • Responsible for the management of BYCAV full-time coordinator / staff; and,
    • Act as Chairperson in the absence of the Chair.
 
Vice-Chair External and Outreach
    • Responsible for ensuring substantial community linkages are initiated and developed by the Steering committee and BYCAV;
    • Ensure that community events, issues and concerns are brought to the attention of the Steering Committee and BYCAV as a whole;
    • Must take on tasks to ensure that BYCAV completes required and necessary outreach efforts to develop meaningful relationships and partnerships within the Black community of Toronto;
    • Act as a signing officer for BYCAV; and,
    • Act as Chairperson in the absence of the Chairperson and the Vice-Chair Internal.
 
Director of Education and Awareness
In charge of supporting initiatives that deal with the education of Black youth on issues facing our community and fostering positive knowledge of self.  Director will have a large focus on high-school aged Black youth.
    • Workshop and Programming Support: Lead member responsible for BYCAV workshop initiatives and supporting community programs for youth.  Will work with Vice Chair External and Outreach around these initiatives.
    • High school Outreach:  Responsible for building connections and outreach to high school teachers and youth. Will assure BYCAV is a youth friendly space for high school students.  Will focus on understanding issues how education system interacts with Black youth.
    • Research:  Director will be in of charge collecting information pertaining to the Black community in Toronto and the issues facing the community.
 
Director of Media and Promotions
Works on our internal media and news for the website and external communications.  Also in charge of producing material to raise the profile of BYCAV in our community and mainstream media.  Further will look at fundraising packages and materials.
    • BYCAV’s Media:  Responsible for having articles, news, pictures and audio produced for our website that will give a voice to youth in our community.
    • Media relations: Director responsible for the development press releases and all communication with the media. Will work closely with Chairperson on this portfolio.
    • Promotions: Director responsible for developing flyers, promotional materials and any other activities to address and promote campaigns.
    • Fundraising:  Responsible for creating proper fundraising packages and assisting the BYCAV coordinator around grant writing.
 
Director of Membership and Recruitment
In charge of making sure BYCAV is in proper communication with members, continues to expand its membership and finds new leaders to serve on the steering committee.
    • Meeting Management:  Responsible for ensuring regular open meetings occur.  Also responsible for holding other more social events to build up the membership base
    • Email/Website: Responsible for ensuring the website calendar is up to date and that regular listserv emails are going out.
    • Membership Management:  Responsible for ensuring BYCAV has proper contact listings for our members and supporters.  Ensures members are shown appreciation for the work they do.
    • Steering Committee Sustainability: Responsible for finding and developing new members for the steering committee in the future.
